Policy Statement


Policy StatementThe University of Memphis is committed to the continued education of University employees.  Support for educational assistance in the form of fee waivers and staff scholarships addresses this commitment.


Purpose


 To identify educational assistance available to University employees and encourage continuing education at a Tennessee public higher education institution.


Procedures


General Information

Based on the availability of funds, regular University employees may take advantage of educational assistance to attend public higher education institutions in Tennessee.   Job performance and University goals must receive priority at all times.  Employees should limit enrollment to ensure that job performance remains a top priority throughout the semester.

University employees must meet all admission requirements and are subject to all academic regulations as are other students at the Tennessee higher education institution.       

Courses taken while employed in a benefits-eligible position at the University of Memphis, should be taken outside of normal work hours.  However, with the approval of the supervisor/ manager, and department head, an employee's work schedule may be altered to allow for one course per semester taken during normal work hours.  In all cases, the time missed from work must be made up within the same work week.  The altered work scheduled must be included on the application form for these programs.                     


Summary of Programs Available to Employees

 

Staff Scholarship and Employee Audit Program

PC191 Fee Waiver Program

Eligibility

Regular full-time and part-time staff employees employed by the University a minimum of six months as of the first day of class

 Faculty may audit courses under this program

Retirees with > 10 years of service

Regular full-time employees including faculty

The status of an employee on the published first day of classes for each term determines eligibility.  Any change in status after the first day of classes shall not affect eligibility for that term or the amount of assistance received.

Program Benefits

Six hours per term for full-time employees; three hours for part-time employees

One course per regular term (fall spring, 1st & 2nd summer)  

Space Available Basis Only

Class Attendance

Course should be taken outside normal work schedule; however, with departmental approval, may adjust work schedule for one class during regular work hours

Same provisions as Staff Scholarship

Penalties

If employee fails to successfully complete a course or courses paid by this program, to regain eligibility, employee must pay for and successfully complete the same number hours dropped, withdrawn, or failed

If the employee is later found to be ineligible for the benefits provided, the employee will be responsible for repayment of benefit provided

If the employee is later found to be ineligible for the benefits provided, the employee will be responsible for repayment of benefit provided

Participating institutions

The University of Memphis; other TN Board of Regents institutions, and University of Tennessee schools

The University of Memphis, other TBR institutions, or UT schools

Accounting and Budgeting

Costs shall be charged to departments as an employee benefit and funded as are other university benefits

 

If the employee is attending the employer institution, the expenditure is charged to employee benefits and funded as are other university benefits

If the employee is attending another institution, that institution charges the expenditure to scholarships and fellowships.  The employer institution does not recognize expenditures when an employee attends another institution.

Application Deadlines

Staff Scholarship applications should be submitted at least two weeks prior to fee payment deadline for the term

Fee Waiver applications should be submitted at least two weeks prior to fee payment deadline for the term

 


Additional TBR Educational Benefits

The Tennessee Board of Regents educational guideline contains eligibility requirements of other programs that may provide benefits for TBR employees such as the Grant-in-Aid program and Desegregation Development, as well as benefits for general state employees, students aged 65 and over, dependents of public school teachers, and, in some cases, dependents of veterans who died as a direct result of injuries received, or officially reported as being either a prisoner of war or missing in action while serving honorably as a member of the United States armed forces during a specified period of time.
