How do I get to the IT Impact Report (ITIR) Generator website?

Use the URL: http://www.memphis.edu/itir. You will be forwarded to the actual secure server site hosting the IT Impact Report Generator. You must log in to the ITIR generator to create a new ITIR, or to edit and post an ITIR. "View Only" summaries of current and archived ITIRs are available at the following URL: http://www.memphis.edu/itirview.

How do I log in to the IT Impact Generator? Who can use it?

Log in using your UofM "Universal User ID" (uuid) and password. This is the password maintained by the iAM identity site ( http://iam.memphis.edu ) and used for things such as postoffice email, and e~Print access.

There are four different levels of access to the ITIR website. With increasing privileges, these levels are:

  1. View only. Without logging in a user can view impact reports at the following URL: http://www.memphis.edu/itirview.
  2. Create Impact Reports only. All members of the University community can log in and submit an ITIR.
  3. Edit Impact Reports. Members of designated LDAP groups can create and edit Impact Reports.
  4. System Administrators. Members of designated support groups can administer the ITIR system.

How do I create a new IT Impact Report?

  1. Select the "Create a New Impact Report" option from the main menu.
  2. Fill out the form as appropriate.
  3. Click the [Save and View/Post Impact Report] button.
  4. Click the [Post Impact Report] button to post to email, or [Edit Impact Report] to return to the edit form.

How do I close an Impact Report?

There are two ways to close an Impact Report:

  1. Before clicking the [Post Impact Report] button, enable the "Close ITIR after post" checkbox that will be found to the right of the [Post] button.
  2. Click the [Close Impact Report] button that will be found at the bottom of the ITIR edit form after it is saved for the first time. An alert box will provide a warning before actually closing the ITIR.

It will be necessary to close all Impact Reports.

How do I edit an Impact Report?

Only currently "open" Impact Reports can be edited.

  1. Select the "Update/Close Impact Report" option from the main menu.
  2. All currently open Impact Reports are listed. Select an Impact Report.
  3. Edit the form content as appropriate.
  4. Click the [Save and View/Post Impact Report] button to post changes to the database, or the [Cancel Add/Edit] button to discard changes.

How does the Impact Report "check out"/"check in" feature work?

The beginning of each ITIR line in the "Update/Close" list includes a graphic showing whether the ITIR is either:

Placing the cursor over the lock graphic will display the name of the person who has the ITIR checked out for edit, and the date/time it was checked out. Clicking on the ITIR line brings up the edit form in a "View Only" mode with edits disabled, but with an [Override/Cancel Checkout] button that can be used if someone left the ITIR locked by mistake.

Can I preview and spell check an Impact Report before it is posted?

A preview version of the Impact Report is displayed prior to actual posting. The submitter always gets a chance to proofread the entire report before it is actually posted.

Only MS Internet Explorer browser users ( v5.5 or higher) will have a built-in spell checker. IE users get a WYSIWYG editor box for the three main content areas of an Impact Report (User Impact, Resolution, and Additional Details).

What happens if I post an Impact Report multiple times?

Each posted Impact Report is stored separately in the ITIR database. All posted versions of an Impact Report will be viewable via the "View Open Impact Reports" and "View Closed Impact Reports" menu items. These are publically viewable lists that do not require an application login.

If there are multiple versions of an Impact Report, the "Impact #" column will show the increment value (i.e. 20040077, 20040077-2, 20040077-3, ...) and the "Description" will include a reference to the "update" number.

How does the "Search" feature work?

A "Search Open/Closed IT Impact Reports" section is found in the top right of the screen on the "Update/Close Impact Report", "View Open Impact Reports", and "View Closed Impact Reports" screens. This section consist of three components:

  1. Entry box for text to search for. Leave empty to return a complete listing (the default)
  2. Drop-down list of different Impact Report sections to search in
  3. A [go] button to list only Impact Reports that contain the text in the entry box search using the currently selected drop-down item
